After enabling the Vaccination: Automatic Scheduling of Second Dose plug-in and following the steps outlined below, when patients’ tickets are scanned at a check-in station, they will automatically be scheduled for their second dose a specific number of days in the future.

Important: To use automatic second dose scheduling, the first and second dose clinics must be in the future. Automatic scheduling will not work if the first dose clinic has already taken place.

To create the events

Prior to setting up the automated second-dose scheduling, your first dose event and second dose event must be created. The events must share two things in common.

  1. They must have the same timeslots, with the same quotas. For example, if the first event has timeslots at 9:00am, 9:30am, and 10:00am, with 10 appointments in each timeslot, the second dose event should have the same timeslots with 10 appointments in each timeslot.

    Note
    : If a timeslot is full on the second dose clinic and a patient is auto scheduled, it will push them to the next available timeslot.

  2. The product names must be identical between the two events.
    1. No products should reference the first or second dose.
    2. The first dose event can have voucher codes enabled, but the second dose event should not.

Important: For both events, ensure test mode is turned off and the events are marked as live.

To enable the plug-in

  1. On the upper left, click your login email and, in the list, click your organization.
  2. On the left, click Events. The Events page opens.
  3. Locate the first dose event and click the name of it.
  4. On the left, click Settings. The Settings page opens.
  5. On the left, in the Settings menu, click Plugins. The page opens to the Features tab.
  6. Toward the bottom, to the right of Vaccination: Automatic Scheduling of Second Dose, click Enable.

To format the second dose email

  1. On the left, in the Settings menu, click Vaccination Scheduling. The Vaccination Scheduling page opens.
  2. To notify the patient about their second dose, select the Send Email if Second Dose has been Scheduled check box.
  3. If appropriate, edit the Email Subject and include any placeholders located below.
  4. If appropriate, edit the Email Body and include any placeholders located below.
  5. Click Save.

To set the second dose schedule

  1. On the left, click Products. The Product page opens.
  2. Locate and click the product name. The Modify Product page opens.
  3. Near the top, click Additional Features.
  4. Toward the bottom, for Scheduling of Second Dose: Number of Days, enter the number of days after the first vaccination that you want the second dose to be administered.
  5. Next, locate Scheduling of Second Dose: Event Series to Choose Date From and choose the event at which the second dose will automatically be scheduled.
  6. Click Save.
