Users are the people who have EMResource accounts. Accounts are created in EMResource to offer people access to view events, update statuses, and/or manage resources within the solution. 

Some users may only need minimal access, for example, to view certain types of events. Other users may need more extensive rights that allow them to initiate events, update statuses, manage resources, create forms, and generate reports. All of this is specified through the user’s account, according to their roles, views, and rights, which are specified by regional or resource administrators when they create, configure, and manage users.

Users List

Through the Setup menu, authorized administrators can access the Users List to manage users. The list identifies users by name and organization, and indicates the date and time that the user last logged in to EMResource.

Through the Users List, you can Create and Import users, or use the filter and search features to quickly locate existing users by resource group, role, resource type, or personal details as specified in the User Profile. After you create or locate a user, you can use the Edit or Password options to manage the user’s account or reset their password.

The Edit feature opens the user’s account so you can review and, if necessary, adjust the user’s profile, rights, and access to resources.

From the Users List, you can also Print the list or Export it as a comma-separated values (CSV) file.

User Accounts

User accounts are organized by sections, which include the User Profile, User Type and Role, Views, Resource Rights, User Preferences, and Advanced Options.

User Profile

The User Profile section contains basic information about the person, such as their username, name and contact information, as well as whether the account is active and/or shared. For more information about shared accounts, go to the article Shared Accounts.

User Type & Roles

Roles are assigned to determine which features and functions are available to users. Assigning roles grant users a predefined set of rights, which in turn, control and manage their access to features and functions.

When new users are created, they are automatically assigned your region's default role and, thereby, the rights associated with it. These users also have viewing rights for resources in the region default view. Likewise, when you grant users from other regions the right to log in to your region, they are assigned the default role and view rights. However, as you work with a user’s account, you can change these settings. For more information about user roles, go to the article About Roles.

Views

Views are designed to consolidate and display information about the resources in a region. Views are commonly configured by resource type (clinics, emergency medical services (EMS), hospitals, or shelters), location (within a city, county, or metro area), or service (dialysis, memory, psychiatric, or physical therapy). The information provided in a view can include a wide array of details such as the status, status type, availability, contact details, comments, and date of last update.

Specifying the user’s Views, including their default view, determines what information is visible when they access their account or navigate between views. If your region has mutual aid agreements with other regions, you can decide if a user needs access to these regions too. This feature is particularly helpful along borders.

Resource Rights

Resource rights determine what resources and information about those resources are accessible to a user. For example, even when users are granted access to a View, they only see resources they have rights to in that view.

At the top of this section, there are various filter and search options that allow you to limit the list of resources.

Resources are listed as rows, and for each resource, there are five columns. Selecting or clearing the check box in each column determines the user’s access to the resource. Access rights by column include:

  • Associated With, which links the user to the resource, as a participant for inclusion in notifications, events, and reports.

  • Update Status, which grants the access and opportunity to update resource statuses.

  • Run Reports, which grants the access and opportunity to run general reports about the resource. Access to various reports is further controlled through.

  • View Resource (required for any other rights to be applicable), which offers access to information about the resource through views, events, and other tools. Refine allows you to limit resource view rights by status type.

  • Administer Users, which grants the user control to create, edit, and otherwise manage users that are associated with a resource.

    Important: The View Resource right is a required precursor to all other rights on a resource. If you want a user to have Associated With, Update Status, Run Reports, and/or Administer Users rights, you must first grant them the View Resource right on that resource.

Additionally, user rights to sub-resources are inherited from the resource. For example, a user who has been granted view rights to a resource can also view its sub-resources and a user who has been granted the Update Status right for a resource can also update its sub-resources' statuses.

Refine Visibility

When you create a new user, you are required to assign them one or more roles. As a result, the user has the right to view the status types associated with their roles. Further, when you grant the View Resource right for a resource, the user is also given visibility into all status types for that resource. 

You can restrict the user’s visibility into the status types for a resource through the Refine link, which appears to the right of the View Resource check box. Click the link to view a list of the resource’s status types. As necessary, select or clear the status type check boxes to grant or remove the user's right to view it.

User Preferences

Only visible when editing an existing user, the User Preferences section allows you to determine the type, method, and time range of notifications that are delivered to the user.

Notification options include:

  • Event Notification Preferences
  • Status Change Notification Preferences
  • System Notification Preferences
  • Multi-Region Event Rights

Advanced Options

Advanced Options allow you to specify the IP Range from which the user can access EMResource and select individual rights. A series of individual rights are combined to create roles, and rights that are already associated with the user based on their roles are indicated with a red asterisk. Individual rights can also be assigned to users, and these additional rights will immediately affect the information the user sees in the solution.
